IQ Energy Services are in the home energy conservation business and provide Loft and Cavity Wall installation services across the country. As is typical in this industry they employ a number of sub contract installation teams and almost all of their work is part funded through various Grant Funding initiatives for energy conservation.

The problem

Invoicing, Job Planning and Payroll were becoming impossible to manage given the unique way grant funded schemes operate and the multi way invoicing inherent in the industry.

A huge amount of forms needed filling in manually, invoices had to account for meterage of the work, grant contributions, over meterage contributions, householder contributions and third party contributions.

In addition grant funding criteria evidence had to be collected and relevant schemes selected accordingly - another time consuming and error prone process.

All the above contributed to difficulty in obtaining a clear picture of the business and created inefficiencies preventing the growth the company envisaged.

The Solution

A high availability bespoke application hosted on an IBM Series X Server running Domino Utility Express.

The solution (Insulation+) was built using XPages and provides single click bulk invoicing and team payroll which previously took up to 5 hours per day and is now completed in seconds. In addition the solution provides flexible team diary management, visual job planning, on demand reporting, financial analysis and stock management.

All grant eligability evidence is stored on the system and used to automatically filter relevant schemes and set pricing for the job without the possibility of error.

All conformance forms, claim forms and building notices are pre populated and generated with a single click.

The application has removed all manual processes allowing the company the extra capacity needed to grow and has since increased the number of installation teams it operates from 7 to 13 in a 3 month period.
